Role Overview: Anderson Knight are recruiting a Legal Personal Assistant (PA) to support a legal firm in Edinburgh. The successful candidate will provide efficient administrative, secretarial, and PA support to the fee earners, ensuring smooth daily operations. Key Responsibilities: * Prepare and format correspondence, documents, presentations, and reports using Microsoft Office, Adobe, and dictation software. * Handle client and matter opening and closing, including liaising with Finance and AML teams, performing conflict checks, and drafting engagement letters. * Manage complex diaries, schedule meetings, book rooms, and arrange travel and accommodations. * Oversee email accounts, including monitoring inboxes for absent fee earners, filing, and managing email storage. * Coordinate team meetings, take notes, and track tasks to ensure follow-through. * Assist in invoicing, including monthly billing, client queries, and managing fee portals. * Organise documents, filing, scanning, and photocopying as needed. * Collaborate with support teams (Finance, IT, Facilities, etc.) to ensure efficient workflows. * Provide ad-hoc administrative support, such as organising training and updating contact databases. Candidate Profile: Essential: * Strong organisational and time management skills. * Attention to detail and ability to work under pressure. * Previous experience as a PA or Executive Assistant. Desirable: * Experience in the legal sector. Technical Skills: * Proficiency in Microsoft Office and relevant legal tools. * Ability to manage multiple priorities and tasks effectively. * Demonstrates initiative in completing tasks and providing solutions. Business/Work Management: * Works effectively as part of a team to meet objectives within deadlines. * Keeps colleagues and clients informed of progress. * Adheres to firm policies and procedures, including financial processes.
