Executive Assistant & Policy Support Officer


This is a unique and exciting opportunity to join the Major Sporting Projects Delivery Directorate, in a varied role supporting the delivery of high profile programmes that are critical to our Ministers’ mission-led priorities.

Key responsibilities will include:

  • Playing a key role at the heart of the directorate, supporting corporate and cultural leadership alongside the Business Manager and Senior Leadership Team (SLT), helping to shape and grow a dynamic, inclusive, and high-performing team.
  • Ensuring the smooth operation of our SLT’s daily schedules, coordinating diaries for three senior leaders, ensuring meetings are scheduled efficiently and strategically.
  • Overseeing inbox management for three senior leaders, prioritising key correspondence, drafting responses, and escalating urgent matters appropriately.
  • Ensuring all travel and itinerary planning for senior leaders is handled smoothly, often at short notice.
  • Taking clear, accurate minutes at key meetings, maintaining organised records, and ensuring key information is disseminated to the wider team, with timely follow-up on action points.
  • Liaising with colleagues across the directorate to support the delivery of coordinated responses to central commissions and correspondence.

Person specification

The ideal candidate would have the following key skills and experience:

Essential criteria:

  • Excellent organisational and prioritisation skills, with the ability to work effectively across a range of tasks and under pressure.
  • Excellent written and oral communication skills
  • Strong interpersonal skills and the ability to interact confidently and professionally with stakeholders of varying seniority.
  • Experience of working effectively with a wide range of stakeholders; ability to work collaboratively to resolve difficult issues.
  • Good judgement to manage situations independently and understanding of how and when to escalate issues
  • Strong work ethic and a proven team player, with ability to work under pressure.

Desirable skills:

  • Previous experience within executive assistant / diary management / business support roles
