Returns Coordinator


Role Overview: proAV are a leading global audio visual integrator, providing AV and event services across multiple client partnerships globally. Our immediate requirement is for a Returns Coordinator to join our Egham team and play a key role within an established operation. This is an excellent opportunity for a highly organised and detail-oriented individual to contribute to the efficient management of the returns process while helping to drive continuous improvements across the department. The Returns Coordinator role is responsible for managing the administration for defective, damaged, or surplus materials requiring return to manufacturers or suppliers for repair, replacement, or credit. The role is critical in ensuring efficient administration, accurate record-keeping, and effective communication between internal teams and suppliers. You will Work closely with the Service, Projects, Procurement, and Warehouse teams. Experience and seniority of the position will be reflected by the remuneration and benefits package. Key Responsibilities: * Process and manage Return Merchandise Authorisations (RMAs) with manufacturers and suppliers. * Coordinate the return, repair, replacement, and credit processes from initiation through to completion. * Maintain accurate records of all returns activity within company systems. * Track outstanding returns and proactively follow up with suppliers to ensure timely resolution. * Liaise with Service, Projects, Procurement, and Warehouse teams regarding returns status and requirements. * Verify supplier credits and ensure they are correctly processed. * Investigate and resolve discrepancies relating to returned goods, repairs, or credits. * Arrange shipping for materials where required. * Arrange collection for faulty or repaired items where required. Person specification: * Strong organisational skills with excellent attention to detail. * Ability to manage multiple tasks and priorities simultaneously. * Effective verbal and written communication skills. * Strong problem-solving and follow-up skills. * Highly organised and methodical. * Resolution-focused with a proactive approach. * Able to work independently and as part of a team. * Strong sense of ownership and accountability. * Resilient and able to work effectively under pressure to meet deadlines. * Competent in Microsoft Office applications, particularly Excel, Outlook. * Experience using CRM systems would be advantageous. Hours of work 40 hours per week, 9 hours a day, 8.30am-5.30pm, including an hour unpaid break, Monday-Friday.
