Automotive Service Administrator Hounslow (LHR) £30,000 – £32,000 DOE Full-Time | Permanent | Office-Based We are recruiting for two key positions within our busy and professional Admin Department in Hounslow: Automotive Service Administrator Automotive Service Planner / Service Administrator These are excellent opportunities for experienced administrators to join a structured, fast-paced motor operation supporting fleet servicing, vehicle compliance, and customer service delivery. Automotive experience is highly advantageous; however, candidates with strong administration experience in a process-driven environment will also be considered. Role 1: Automotive Service Administrator Hours: Monday – Friday | 09:00 – 17:30 Key Responsibilities: Acting as first point of contact for drivers, customers, and visitors Coordinating vehicle collections and returns Raising, updating, and closing job cards Inputting job details accurately onto internal systems Supporting the service team with telephone enquiries Completing invoicing and ensuring documentation accuracy Conducting internal paperwork checks and audits Providing administrative support to the Operations team Role 2: Automotive Service Planner / Service Administrator Hours: Monday – Friday | 09:00 – 18:00 Alternate Saturdays | 07:00 – 13:00 (paid overtime at time and a quarter) Key Responsibilities: Producing and managing vehicle service plans Scheduling servicing and maintenance up to three weeks in advance Booking MOTs and scheduling tachograph calibrations Monitoring service compliance and running KPI reports Maintaining accurate vehicle and service records Managing warranty and contract service jobs Ensuring job cards progress efficiently for timely invoicing Providing Service Reception cover when required About You We are looking for candidates who demonstrate: Strong administrative experience (essential) High attention to detail and strong organisational skills Ability to manage multiple priorities in a fast-paced environment Confident and professional communication skills Good IT literacy and experience using internal systems Automotive or motor trade experience is highly advantageous, particularly experience within a Service Department, Workshop, Fleet, or similar vehicle-based environment. Candidates from structured, compliance-driven industries (e.g. transport, logistics, engineering, maintenance, property, or healthcare administration) will also be considered.
