Warehouse Admin- Dunstable Key Responsibilities: Warehouse Admin Administration: · Manage and coordinate office operations · Implement, manage and maintain record keeping, confidential personnel files, purchasing and inventory control systems · Assist with Human Resources management: design and implement policies and procedures, manage benefits administration, recruitment, orientation and training of staff · Manage office equipment, maintenance and service contracts and systems · Manage technology and telecommunications systems and provide general support to staff · Coordinate and ensure all funder reporting requirements are fulfilled as specified and that reports submitted on time · Create and maintain an administrative filing system · Prepare, respond to and file correspondence on behalf of the company · Maintain an inventory of office supplies and equipment · Maintain a petty cash system and various budgets · Perform other duties as may be assigned · Assist in maintaining budget through budget entry and monitoring · Make ongoing tax payments · Preparation for and assistance during financial duties Warehouse Admin Management & Team Support: · Proactively manage, coordinate and organise activities and schedules for the Executive Director including meetings and correspondence (email and voice-mail) · Proactively schedule and manage the work of the team · Identify and respond to all requests that can be dealt with independently and confidentially · Assist with reporting requirements to accreditation, licensing and funding bodies · Prepare correspondence, materials and agendas, meeting minutes, action logs and ensures timely follow up · Assist with hiring, orientating and training of staff when applicable · Develop and maintain knowledge of strategic partnerships, funders, community organizations, institutions and the community at large · Communicate with community representatives, service agencies and clients, on behalf of the Executive Director Warehouse Admin Skills: · Discretion and trustworthiness · Flexibility and adaptability · Excellent oral and written communication skills · Organisational skills and the ability to multitask · The ability to be proactive and take the initiative · Tact and diplomacy · Communication skills · A knowledge of standard software packages and the ability to learn new systems if required · Ability to make own decisions · Attention to details · Time management & ability to work under the time pressure · Problem solving · Positive ‘can do’ attitude · Ability to meet deadlines · Fully aware of General Data Protection Regulation (GDPR) Warehouse Admin Qualifications: · GCSEs including English and Maths (Grade C or above) · Experience as an Administrator · IT proficient - including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint · Knowledge other languages can be favourable · Preferably logistics background
