Payroll Manager


Ruby Energy is seeking an experienced and detail-oriented Payroll Manager to lead the end-to-end in-house payroll function for our group of companies. This role involves ensuring accurate and compliant payroll processing, managing payroll operations across multiple entities, and leading a small payroll team. You will be the subject matter expert on all payroll matters, driving continuous improvement and ensuring an excellent employee experience.

This is a critical role during an exciting transition, as we move away from outsourced payroll services to manage payroll fully in-house. You will oversee the transition process, implement robust payroll procedures, and ensure accuracy, compliance, and timeliness across all payroll activities

Please note this role in not a remote role or Hybrid but full time in the office and must be willing to work 5 days per week in Fleetwood Lancashire

Main Responsibilities (but not limited to):

  • Lead and manage the end-to-end payroll function across multiple payrolls and business units.
  • Oversee the transition from outsourced to in-house payroll, ensuring seamless implementation and minimal disruption.
  • Prepare and approve all weekly/monthly payrolls and ensure accurate data input and processing.
  • Ensure timely and accurate payroll payments and maintain payroll records in accordance with internal policies and statutory requirements.
  • Review payroll inputs and outputs, ensuring completeness, accuracy, and audit readiness.
  • Provide regular payroll reporting, including headcount movement, overtime, and cost tracking to Finance and HR.
  • Supervise and develop payroll team members, providing guidance, support, and performance management.
  • Be the main point of contact for all payroll-related queries and issues from employees, managers, and external bodies.
  • Lead on HMRC-related reporting and correspondence, including submission of RTI, P11Ds, PSA, and dealing with audits or queries.
  • Stay current on payroll legislation and ensure full compliance with PAYE, NIC, pensions, and other statutory obligations.
  • Identify and implement improvements in payroll processes, systems, and reporting to enhance accuracy, efficiency, and compliance.
  • Partner with HR and Finance to ensure alignment on data inputs, policies, and business needs

Experience Required:

  • 3-5 years' experience in a similar Payroll Manager or Senior Payroll Officer role.
  • Proven experience managing payrolls for a multi-entity business (preferably SME to mid-size corporate environments).
  • Strong understanding of UK payroll legislation, statutory deductions, pension schemes, and HMRC requirements.
  • Proven track record of managing or supporting payroll transitions (from outsourced to in-house or system upgrades).
  • Supervisory or team leadership experience.
  • Strong Excel and data analysis skills, with an ability to work accurately with large data sets.
  • Comfortable working under pressure and to tight deadlines, while maintaining accuracy.
  • Excellent communication and interpersonal skills - able to explain payroll concepts to non-finance stakeholders.
