Team Secretary - 6 Month FTC

We have an opportunity for a full time Team Secretary to join our Quality Assurance and Practice Department at our Sidcup Head office. This is based on a 6month Fixed Term contract (Until the end of October 2024) there could be the possibility for this role to go permanent. The role is full time, 37 hours per week working Monday to Friday and Avenues offers hybrid working.

In this role you will provide an efficient and effective administrative support to the Quality Assurance and Practice Department (QA&P). We are also looking for the right candidate who can support and promote Avenues vision, values and operating principles. And to support and promote the F.R.E.D.I.E. principles of Fairness; Respect; Equality; Diversity; Inclusion and Engagement.

Accountabilities and responsibilities:

  • To provide full secretarial support for the QA&P department
  • To use internal databases and where required produce reports from the databases.
  • To minute meetings maintaining confidentiality at all times.
  • To carry out any other reasonable duties as required
  • To liaise and consult with internal functions and external agencies as relevant to specific projects.
  • To establish and promote positive professional relationships with colleagues.
  • To provide calendar support for all training provided by QA&P.
  • To maintain records of referrals to team providing reports when required.
  • To ensure all incoming referrals and requests are sent to the relevant person within QA&P
  • To provide Secretarial support to all areas of QA&P

Ideally the right candidate would have similar previous experience:

  • Experience of secretarial and office administration work (Essential)
  • Experience of copy and audio typing (Desirable)
  • Experience of IT systems, databases including MS Office programs. (Essential)
  • Planning and Scheduling meetings (Online and in Person) (Essential)
  • Taking meeting minutes (Desirable)
  • Ability to be flexible and adjust work priorities where required (Essential)
