Data Support/Administration Officer - Band 4


Job Title: Band 4 Data Support/Administration Officer Location: Antrim Duration: Temporary position, 3 months initially with possibility of extension Hours: Full Time. Mon-Fri, 9am-5pm. Salary: £12.25 per hour. On behalf of our client, we are seeking a Band 4 Data Support/Administration Officer who will provide administration, secretarial and data management / processing services within the Mental Capacity Act service. The post holder will support the MCA Implementation lead and Governance lead in the development of robust data management and governance arrangements in respect of the processing and recording of activity and information on electronic systems. The post holder will also take responsibility for the transfer of information to and from the Trust by key stakeholders within MCA, and will ensure that there are appropriate and robust systems and processes to record, disseminate and store this information as required Duties include: •Have an understanding of the structures and operating processes within service areas in relation to DoLs •Provide a full administrative service with clerical & secretarial support. Production of correspondence to various stakeholders and production of reports and presentations as required. •Support the use of clinical and corporate systems as appropriate e.g. data input, word processing, spreadsheets, presentations etc. The post holder will be capable of demonstrating a high level of data input accuracy, and will be fluent in the use of systems such as Microsoft Access and Excel to include the use of pivot tables. •Scheduling and servicing of meetings including arrangement of meetings to include the issuing of electronic invites, production of electronic agendas, and booking of venues as required. Timely circulation of agendas and minutes which will be of an acceptable quality. Co-ordination and communication with relevant stakeholders in regards to follow up on actions required from meetings to meet deadlines. •Compile and maintain the MCA panelrota including responding to requests for changes of shifts and arrangement of cover for panel members unable to attend panel on allocated day. •Proactively manage telephone calls/emails and queries, some of a sensitive nature from patients, carers, healthcare professionals, managers, hospital departments and external partners all of which require a high level of patient confidentiality and professionalism. Ensure effective messaging and bring forward systems are in place and that the necessary follow up action has been taken. •Monitor and manage information requests accordingly. This will involve inputting data to, and obtaining information from Computerised Patient Administration Systems following consideration of data protection policies. •Maintain the current electronic filing system and document control procedures in line with Records Management requirements. •Take responsibility for the planning and prioritisation of own workload using own initiative with a flexible working pattern, working independently and as a part of a team. •Analyse and present data in line with the Division’s reporting schedule, ensuring accuracy of data and hotspots highlighted to the MCA Leads in a timely manner and prior to relevant meetings / presentations. •Consider the collection, analysis and presentation of data in light of any audit recommendations/feedback received to ensure it is accurately depicted and maintains robust governance arrangements in conjunction with the MCA Governance Lead. •The post holder will be required to be competent in using a variety of internal and external IT systems to retrieve, process and present information. You will need: * 5 GCSEs including English and Maths (A- C) or equivalent AND relevant admin experience. OR * GCSE (Grade A – C) English Language and Maths or equivalent and relevant admin experience. * In addition to above, the post holder must be proficient in the use of Microsoft Office. Other desired criteria: * Effective communication / interpersonal skills working across a range of sectors. * Ability to work as part of a team while also being able to use your own initiative. * Ability to work under pressure and to meet deadlines. * Ability to interpret and present complex data in a variety of formats.
