Sales Administrator


Sales Administrator Location: Earls Barton (onsite) Hours: 40 hours per week, Monday-Friday, 09:00-17:30 Contract: Permanent, Full-Time Salary: c.£33,000-£35,000 Due to sustained growth, 4Secure is expanding its team and has created a new opportunity for an organised Sales Administrator with an operational style of working. This is an exciting role for a conscientious, proactive and ambitious individual who thrives in a busy environment and enjoys supporting both operational and sales functions. This role acts as the operational backbone between sales, finance, and delivery teams ensuring smooth execution of sales processes, operational efficiency, accurate reporting, and exceptional client experience. The successful individual will attend client meetings on occasion with the sales team members and provide strategic organisation and support to two Sales Directors. Role Overview Supporting 4Secure’s sales and operations functions, the Sales Administrator manages end-to-end administrative, sales operational, and reporting processes. Ensures secure handling of sensitive Client data and efficient coordination between sales, delivery, and finance teams. Sales Administration Duties Sales and Quote Management: Process and validate sales orders, ensuring pricing, licensing, and terms meet contractual and compliance requirements. Prepare accurate quotes for government and corporate clients, including framework and reviewing tender submissions. CRM and Pipeline Management: Maintain customer and opportunity records in CRM (Salesforce) with full audit trails. Track leads, pipeline, and forecast reports to support sales leadership and executive decisions. Contract & Compliance Administration: On occasions draft, review, and track NDAs, security agreements, and client contracts. Ensure client agreements comply with ISO 27001, GDPR, and other relevant security standards. Client Interaction: Serve as the first point of contact for client queries regarding quotes, orders, and project timelines Support account managers with pre and post sales documentation and client communications. Occasionally attend Client site to administratively support the sales personnel Assist with the organisational and deployment of sales events and attend Coordination Duties Order Fulfilment & Delivery Support: Coordinate with technical teams for product deployment, software licensing, and service delivery schedules. Track inventory and liaise with suppliers or partners for secure procurement of devices or software. Ensure timely delivery while maintaining department process Process Improvement & SOPs: Maintain and improve sales and operational workflows Document SOPs for administration, delivery, and compliance processes. Reporting & Analytics: Produce operational and sales performance reports for management, including with support from finance revenue, margins, and provide input to delivery KPIs. Analyse trends and flag potential risks or bottlenecks in delivery or order fulfilment. Financial & Compliance Duties Financial Support: Support the finance team to reconcile sales orders, invoices, and payments Track client credit accounts, budgets, and project-related expenses. Compliance & Security: Ensure all sales and operations activities comply with internal security and HR policies Leadership & Cross-Functional Support Act as escalation point for administrative or operational issues. Liaise across sales, technical delivery, finance, and executive teams to ensure seamless coordination. Contribute to strategic initiatives, such as new product launches and rollouts. Essential Competencies Highly proficient Salesforce skills plus reporting tools (Excel, Power BI). Excellent organisational, communication, and stakeholder management skills. Attention to detail and impeccable written and spoken English Highly organised, with the ability to prioritise and manage multiple tasks. Meticulous attention to detail in data entry and record keeping. Strong client service focus, with the ability to resolve issues and build long-term relationships. A collaborative team player with strong time management skills. Previous experience in a sales administration or similar administrative role. Polished presentation skills Desirable Skills & Experience Knowledge of sales and marketing principles. Experience within a similar industry (advantageous but not essential). A business administration, sales, or related qualification (or a willingness to work towards one).
